To Open an Account
- Give Accounting Services a copy of your recognition letter from
the Center for Campus Life.
- Obtain two signature cards from Accounting Services. Two student
officers and the advisor need to sign each card. Return the cards
to Accounting Services.
- Within three days your student organization will be assigned a 10-digit
account number.
To Activate the Account or Make Deposits
- Obtain the Departmental Deposit Information Sheet from the Bursar’s
Office, room 163 Drane Hall.
- Complete the form. Use 70 for the revenue code and 7617 as the sub
revenue code for all deposits.
- Make sure the account number is correct.
- Attach a double adding machine tape for checks.
- Write the account number on the back of each check and use an endorsing
stamp if you have one.
- Take the form and deposit to the Bursar’s Office between 8 a.m.-4
p.m. Monday through Friday.
- Allow four (4) days for your deposit to be posted to your account.
Change of Officers/Advisors
- The student organization advisor is the account manager. He/She
will receive the monthly ledger sheets for the account. If any of
the people on the signature card change, you will need to obtain new
signature cards from Accounting Services.
Payments and Charges
- Obtain Check Issuance Request Forms from Room 334 Drane Hall.
- Complete the request form. It is preferred that the request form
be typed with the complete name and address of the vendor payee. If
the payee is an individual, you will need their social security number.
Give a complete description of the item purchased. The object or subject
code does not need to be filled out.
- The Check Issuance Request needs to be signed by one of the two
students on the signature card and the advisor.
- Allow five days for the checks to be drawn. Checks will be mailed
to you. Normally checks cannot be picked up in person.
- Checks will not be issued unless you attach the original receipts
or other detailed documentation to the Check Issuance Request Form.
- The Check Issuance Request will not be processed if there is not
enough money in the account to cover it.
- You can charge at Copy Tech, Student Union, and Campus Post Office.
- You cannot use the services at Purchasing or the Tech Warehouse.
Other Information
- Your organization may pay for anything out of your account.
- You do not have to prepare a budget for Accounting Services. (Although,
you should prepare one for the benefit of the organization.)
- You can access fiscal records for your organization’s account through
Accounting Services.
- Payments to individuals for services (Independent Contractors) will
require an attachment of an Independent Contractor Questionnaire (OP
71.36 Attachment A) to the RI payable to the Individual.
- If your organization prepares a Federal form 1099 to report payments
made to individuals, you need to contact the Accounting Dept. to avoid
a duplication of TTU sending the recipient a 1099.
