Configuring Junk E-Mail Filters in Outlook 2003/2007

Update Microsoft Office:

Note: Updates may require your Microsoft Office 2003/2007 Installation media.

  1. Open http://update.microsoft.com/microsoftupdate
     
  2. Check for updates.
     
  3. Apply all Office Updates, including Junk Email Filter updates.

Change Junk E-Mail settings in Outlook 2003/2007:

Step 1:  On the Tools menu, select Options.

 

Step 2:  In the Options dialog box, click on the Junk E-mail button.

 

Step 3:  Choose the level of junk e-mail message protection you want and click OK.  There are four different levels of junk mail filtering.
  • The first level which is called "No Automatic Filtering" only blocks messages from email addresses that have been added to your blocked senders list.
     
  • The next level of filtering is the "Low" level. This level will only catch the most obvious junk and spam messages.
     
  • The next level is "High". This level is probably the most practical for most users as it provides filtering of almost all junk and spam e-mails. Some of your regular messages might also be caught using this filter so be sure and check your Junk E-mail folder often.
     
  • The last level of filtering is the "Safe Lists Only" level. This level will filter every message that does not come from an address that is on your Safe list.  Many messages will be sent to the Junk E-Mail folder using this setting.

 

Add a sender to your Safe Senders List, Safe Recipients Lists, or Blocked Senders List:

Step 1:  Right-click on a message from the sender.
 

Step 2:  Point to Junk E-mail, and click either Add Sender to Safe Senders List, Add Sender to Blocked Senders List, Add Sender's Domain to Safe Senders List, or Add Recipient to Safe Recipients Lists.

Note:  It may take up to five hours for changes to your Safe Recipients or Safe Senders Lists to take effect on all TechMail servers.

An alternate method to add addresses and domains to your Safe Senders List is presented below:

Step 1:  On the Tools menu, select Options.

 

Step 2:  In the Options dialog box, click on the Junk E-mail button.

 

Step 3:  Click on the Safe Sender tab at the top of the screen.

Directly below the white box, there are two check boxes.  By checking the first box, any email addresses that you have stored to your Contacts will be automatically considered to be safe senders.  The second check box will automatically add everyone you send an email onto your safe senders list.

To add a new safe sender, click on the Add button.

Once you have configured your safe senders, click on the OK button.

Note:  Changes to your Safe Senders List may take up to five hours to take effect on all the TechMail servers.

 

Step 4:  The Add address of domain window appears when you click the Add button in the previous step.  Here you can specify either a single email address to be a safe sender (such as john.doe@ttu.edu) or you can specify an entire domain (such as @ttu.edu).  If you specify an entire domain, then anyone with an email address on that domain will be considered a safe sender.

Once you have entered an e-mail address of Internet domain name to be added to the safe senders list, click on the OK button.

The first time Outlook 2003/2007 moves a message to the Junk E-mail folder, it will notify you with a dialog box.

Filter all email from a specific International top level domain such as .br, .tv, etc...

Step 1: On the Actions menu select Junk E-mail and then select Junk E-mail Options.


Step 2:
Click on the International tab and then click the Blocked Top-Level Domain List button.
 


Step 3: Select the international domains you want blocked or Select All. Now click OK and then click OK again to return to Outlook.
