OP 70.19: Employee Exit Procedures

DATE: November 4, 1998

PURPOSE:  The purpose of this Operating Policy/Procedure (OP) is to define a check-out procedure for employees leaving employment of Texas Tech University.

REVIEW:  This OP will be reviewed on February 1 of even-numbered years by the Director of Personnel with recommendations for change forwarded through administrative channels to the Vice President for Fiscal Affairs by February 15.

 

POLICY/PROCEDURE

1. General Policy

On the employee's last day of work, the employing departmental administrator or designee, will implement the following procedures to assure security of state property.

  1. State property that has been issued to the employee, if any, shall be returned to the appropriate administrator and checked in by the employee.

  2. Information systems to which the employee has access shall have keywords or other protections updated to ensure security of the system. If the employee has access to the University's Central Computing Services Mainframe, complete Attachment A and mail to Computer Center, Support Specialist, mail stop 3051 - phone 2-3869.

  3. Keys to entry doors, or other items, if any, shall be collected.

2. Removal of State Property

Removal of state property may be construed as theft and appropriate legal action taken if the property cannot be recovered.

3. Right to Change Policy

Texas Tech University reserves the right to interpret, change, modify, amend, or rescind this policy in whole or in part at any time without the consent of employees.
