| | | Scenario 2-a : The Employee Has Never Had a Social Security Card |

1 | | If a Social Security Number (SSN) has NOT been assigned, typically for a new non-resident alien, the employee should go to the SSA on or after THE 11th CALENDAR DAY FOLLOWING ENTRY INTO THE UNITED STATES. Click here for instructions. |
2 | | The employee must apply for a new SSN and ask the SSA office to provide a Receipt of Application for a SSN. |

| | | Scenario 2-b : What to do while waiting for a NEW SS Card. |

1 | | Hold the PAF in the department until the SS card is available or 14 calendar days after the first visit to the SSA office, whichever is sooner. |

2 | | Verify the I-9. The I-9 can be verified by using documents other than the SS card. The hiring department must verify that the employee has provided acceptable I-9 documents BY THE THIRD WORKING DAY. Click here for link to I-9 Form. |

3 | | Printouts from the SSA are NOT listed as acceptable documents on the I-9 instructions. Any ‘list A’ documents (or ’list B’ documents plus ‘list C’ documents can be accepted for I-9 purposes. |

4 | | Note: Please HOLD the I-9/New Employee Packet until a SSN or a Temporary TecHRIS Number has been assigned. |

| | | Scenario 2-c : The employee has not provided a NEW SS Card within 14 calendar days after applying at the SSA. |

1 | | Instruct the applicant to take the ‘Receipt of Application’ form and a Passport to the SSA Office to check the status of the SSN assignment. |

2 | | If a number has been assigned but a card has not yet been mailed, the applicant must ask for the ‘Social Security Number Verification’ printout. |
3 | | The department can now submit the PAF and the I-9/New Employee Packet with copies of: |

As soon as the actual SS card is received, a copy must be forwarded to Human
Resource Services, Mail Stop 1093. |

Request a Temporary TecHris Number from Human Resource
Services via email. To:

Subject: Request for Temporary TecHRIS number |

3 | | Provide employee name and the date the employee applied for a SS card. You should receive an email with the Temporary TecHris Number and instructions within two working days. |
4 | | Submit the PAF and I-9/New Employee Packet using the Temporary TecHRIS Number. |

As soon as the actual SS card is received, a copy must be forwarded to Human
Resource Services, Mail Stop 1093. Indicate on the copy of the SS card, “Replaces Temporary TecHRIS Number ______.”
Human Resource Services will update TecHRIS records accordingly. |
