Author's Obligations

A. Registration Fees

The SWPSC appreciates the efforts of the authors and co-authors in providing a quality program. It is important to note, however, that the SWPSC is a non-profit association and they would request cooperation in following the precedent set by various professional societies which require the author and co-authors to be responsible for the standard registration fee and related travel expenses. (Registration form attached.)

B. Presentation Responsibility

The author and/or co-authors are responsible for the oral presentation of the paper twice, once each day of the Short Course during a pre-determined scheduled time. This task can be shared between co-authors, if so desired.

C. Deadlines

A short abstract (150 words or less) must be received in the Short Course headquarters in the Department of Petroleum Engineering at Texas Tech University by November 16 preceding the Short Course. This information will be used to plan and publicize the Course. It is imperative that the author(s) read, understand, and comply with the “Instructions to Authors”. Please notify your primary contact or committee member that an abstract was submitted.

Finished papers and illustrations should be submitted by January 29, 2010, electronically. The disk must be IBM format with files written in WordPerfect or MS Word. Or completed papers can also be emailed to ronda.brewer@ttu.edu, as long as paper and figures are in MS Word or Word Perfect (the copyright release may be faxed or mailed.) If this date presents a problem, please contact Ronda Brewer in the SWPSC office as soon as possible.

D. Paper Content and Completeness

The author should carefully examine his/her paper for content completeness, and proper style (as set fourth in these instructions) BEFORE submitting it. The paper should be kept as short as possible, but it must "tell the story.” Figures, tables and graphs must be kept to a minimum.

E. Publication Rights

The primary author will be required to sign a release statement prior to the program. 

 The SWPSC policy toward ownership and rights of printed papers and presentations at the SWPSC and affiliated workshops and seminars is the SWPSC has the right to copy, print, sell or otherwise distribute a copy of a paper if the paper is presented at a SWPSC meeting or affiliated workshops or seminars.  The same policy applies to presentations.  The SWPSC does not acquire copyright ownership of the paper or presentation.

As far as the SWPSC is concerned, the copyright is owned by the author or authors.  If the material presented at the SWPSC is used for other purposes, the SWPSC requests that the author or authors acknowledge any prior publication or presentation at the SWPSC.

The author, by submitting his/her paper and/or presentation, permits the SWPSC to copy, print, sell or otherwise distribute the materials.  The author/authors retain copyright of the materials.

Paper Style Requirements and Format

It is emphasized that papers will be printed in the Proceedings exactly as they are received. DO NOT include company logos and trademarks on any portion of the paper including graphs, tables, figures and etc. Company logos will be deleted.  Even though papers are put into publishing package software once they are received, please follow the following guidelines.  The top margin should be one inch, bottom margin 1 inch, and the side margins 1 inch.  All copies should be single-spaced and single-column.  Double-column text is not acceptable.  Please use black 10 point Times New Roman font for the body of the paper.  Papers will be published in black and white only- DO NOT PLACE COLORED FIGURES, GRAPHS, TABLES, ETC. IN THE PAPER.

The title of your paper should be centered in all caps Ariel 18 point and bold ? DO NOT UNDERLINE.  The author and co-author?s names should be centered under the title in upper and lower case Ariel 12 point.  The company?s name should be centered under the author?s name in Ariel 12 point.  Main headings should be placed at the left margin in all caps, underlined and in Ariel 10 point. Secondary headings should be upper and lower case and placed at the left margin in Ariel 10 point.

 A bibliography and/or list of references at the end of your paper are desirable.  Please do not use footnotes or appendixes.  Acknowledgments should be placed at the end of the paper following the bibliography and/or references.

Tables and figures will be placed at the end of the paper.  DO NOT insert tables and figures within the body of the paper.  Tables and figures should be placed at the end of the paper in the following order: Tables, then figures.  The illustrations should consist of photographs or black and white generated graphics.  All tables and graphs should be black and white with dark clean lines. Table headings should be centered above the table.  Figure captions should be centered under the figure with the word ?figure? spelled out (example: Figure 1 - ).  Make text within illustrations large enough to withstand significant reduction and still be legible.  Please include only those illustrations that are vital to the context of the paper.  Do not include page numbers, table of contents, or appendix. The Proceedings are printed in black and white- no color.

(NOTE: If the text is not suitable, the SWPSC reserves the right to ask the author to resubmit his/her work.)

While many authors are with service companies, we ask that you ensure the content of your paper and presentation is primarily on technical or case study information. Please keep the content and presentation generic.  Product and company names within the paper should be minimal and should NOT include logos - all logos will be deleted.  Booth spaces for promoting product lines or services are available.  Please contact the SWPSC office if exhibit space is desired.  Exhibitor space is limited, so make arrangements early. 

 

Classroom Facilities and Projection Equipment

The average attendance varies from 20 to 65 people. The rooms are equipped with a screen, computer overhead projector. This is the only available equipment. We are not able to furnish computers. Authors are encouraged to use Power Point for their presentation, but must bring their own computer.
