Events Information

What Counts as an Event?

The University Libraries event spaces are designed for programs open to TTU students, faculty, and staff that support learning opportunities and engagement. The use of space shall be consistent with the University's educational mission, the Libraries' mission, and with the general nature of the facility.

Event Locations and Setups

In the University Library we have three main spaces for events: Croslin Room Center, Croslin Room South, and Room 309. We also have one space, the Formby Room, in our Southwest Collection/Special Collections Library (SWC/SCL). We have six main ways to setup the rooms, but can accommodate other setups as needed. We provide all tables and chairs.1 

1. Auditorium

Auditorium style setup is similar to classroom style. The chairs are linearly aligned toward the speaker.

2. Classroom

Classroom style setup works well for conferences or meetings when guests will need to be writing or eating while observing.

3. Fair

Fair style setup works well for conferences or information fairs where guest will be interacting with small booths. We offer two different fair setups: Maximum and Perimeter.

Both Croslin Room Center and Croslin Room South can be set up in this style.

4. Group

Group style setup works well for conferences or meetings when there will be interactive table discussions. We offer either square tables (two linear lecture tables) or round tables, depending on which room is requested.

5. Square

Square style setup is great for panel type discussions or large meetings.

6. U-Shape

U-Shape setup is great for presentation with more interaction between guests and the speaker. The speaker may walk up and down to the area inside the "U" communicating with the guests.

Other Setups

Sometimes the above setups would not be appropriate for a given event. In those cases, please describe your desired setup on the "Request Event Space" form and our Libraries' Event Manager will review it to see if we have the resources to provide a suitable setup for your event. 

Requesting Event Space

  1. Decide on your event specs (content, audio visual needs, estimated number of people in attendance, etc.). 
  2. Fill out the Request Event Space form at least 1 month in advance.2
  3. Because we have a limited number of spaces, the TTU Libraries' Event Manager will review each request and grant priority in the following order:
    1. TTU Libraries meetings, events, training, workshops, etc.
    2. University departments or organization units
    3. Organizations or groups affiliated with the university
    4. Other non-profit or community organization whose primary mission and intended event/meeting is educational, research-related, or enhances the academic or cultural life of the campus
  4. The Libraries' Event Manager will email you within two working days either confirming or denying the request.

Special Notes

  1. Spaces do not include flip charts , whiteboards, or chalkboards.
  2. Events after work-hours (5 pm for University Library) and/or on weekends must arrange for both Libraries personnel and sponsoring organization representatives to be present during the event.
