Operating Policy and Procedure

OP 72.19: Malfunction of Concession Machines

DATE: June 26, 2025

PURPOSE: The  purpose of this Operating Policy/Procedure (OP) is to establish the procedures for reporting malfunction in concession machines (e.g., Coca-Cola, National Vending (food)).

REVIEW: This OP will be reviewed every two years after publication by the Assistant Vice President and Chief Procurement Officer with substantive revisions forwarded to the Senior Vice President for Administration & Finance and Chief Financial Officer.

POLICY/PROCEDURE

1.  Placement

Vending machines may only be placed on campus in accordance with Section 7.12.3 (g), Regents’ Rules.

Upon recommendation of the Chancellor, board approval is required for contracts involving the initial placement of vending machines, games, or any other coin-operated food, refreshment, and amusement devices placed in service in any facility owned, operated, or controlled by the TTU System. The President, or the President’s designee, is delegated the authority to determine and approve the location of vending machines, games, or other coin-operated food, refreshment, and amusement devices placed in all buildings and property under the charge and control of the President’s institution.

2.  Malfunctioning Machines

Malfunction of a machine should be addressed as follows:

For Coca-Cola machines, if a product is not dispensed, a product is not satisfactory, or if incorrect change is received, the issue should be reported to Coca-Cola at 1.844.561.2653, giving the location of machine (building and floor), the issue being reported, and the name and contact number of the person providing the information.

3.  Refunds

Refunds for incorrect change may be obtained by contacting the appropriate vendor.
