 In our continuing effort to support research at Texas Tech University, the Office of Research Services began using Cayuse 424 in November 2012. The Cayuse system will track our research proposal and award activity, provide for streamlined-internal routing and approval of proposals, facilitate submission to sponsor systems, and store proposal and award documents.

As you begin working on your first proposal in the new system, Office of Research Services staff will be in touch with you to share how to access the system and what steps to take. The Cayuse 424 system will allow you expanded access to your proposal development, submission, and award information through a very simple, user-friendly interface.

Our hope is that only minimal training will be needed. Face-to-face training will be provided as well as online modules. Additionally, ORS staff would be happy to visit your department or college for an individualized training session. Online training videos and webinars are also available here ».

TTU Cayuse Implementation Outline

PHASE I: Cayuse 424–Completed November 2012

The system includes the following Cayuse 424 capabilities:

  • Extra validations and error checking which means we are doing all we can to ensure proposal will be error free to Grants.gov
  • System-to-system data transmission for >95% of all Grants.gov opportunities
  • Well-positioned for implementation of Research.gov (Cayuse working with NSF–anticipating eventual FastLane retirement)
  • Budget builder tool includes fringe benefits, F&A rates, inflation rates, and multi-year replication
  • Limited electronic routing
  • Customer experience is “...as easy as FastLane...”

PHASE II: Cayuse Sponsored Programs (SP)–Completed November 2013

The Cayuse Sponsored Programs (SP) includes the following capabilities:

  • Proposal development (budget, narrative, compliance questions)
  • Reuse data and copy proposals and awards
  • Robust routing and approval
  • Database of all sponsored program activity
  • Document repository for proposal and award information
  • Tracking of proposals and awards to subcontractors
  • Intuitive User Interface

Phase III: Cayuse IRB [Work will begin upon completion of SP implementation]–In Progress

  • A single repository of documentation and history of each application
  • Track tasks, status changes and comments on each submission
  • Role-based portals allow easy access for PIs, reviewers and compliance officers
  • Streamline reviews, meetings and communications
  • Integration with Cayuse SP
