How to Request a Financial Manager Change

How to use the Finance New FOP system to request a Financial Manager Change.

From the Finance New FOP home screen, select Financial Manger, from either the Common Task side bar or under the Functions dropdown menu.

To complete the Request Financial Manager Change form, start by selecting the chart.

Type the name or R number of the current fund or organization financial manager. Then type the name or R number of the new financial manager.

The system will display a list of funds and organizations associated with the current financial manager.

Use the select all toggle at the top of each section to select all fund or organization codes displayed.

Or: check the boxes next to the funds and/or organizations to be modified to the new financial manager. Please note, there is a limit to the number of funds and/or organizations that can be changed at a time. If there are more than 500 funds and/or organizations to change, the request will need to be split into multiple requests.

Enter the effective date for this change. This must be a current or future date.

Answer the question - Does the request include an endowment fund?

If the answer is Yes, then you must answer an additional question about the fund attribute.

Note that an endowment fund financial manager must be of dean level or higher as stated in OP 02.08.

If the answer is “no”, then continue with the form.

Provide an explanation for the change. Then, once all fields are complete, select Save and Submit.

A notification will appear, stating: Financial Manager change request saved. The request will then route through approvals. Email notifications alert the originator and approvers when actions are required or completed.

To view requests and approvals progress, open the Inbox, located in the Functions dropdown menu or on the home screen under the Common Task side bar.

The status code shows where the request is in the approvals queue. Approved requests will remain visible for 7 days. Rejected requests are automatically removed after 21 days, if no action is taken to resubmit.

Select Details to see the progress.

If the current financial manager’s employee status is Inactive, then the system will automatically approve the request on their behalf.

If, for some reason, it does not auto-approve, email accountingservices@ttu.edu to move the approvals process along.
