Event FAQs

Who will work our event check-in table?

The department/school/center hosting the event should secure and arrange all event check-in table staff and requirements, including volunteer training/job descriptions, sign-in forms, payment equipment, money bags, etc. Our team will help you think through the logistics and offer any suggestions to elevate the guest experience.

Who will book speakers for our event?

The department/school/center hosting the event should book all event speakers, keynote speakers, and other presenters. The department/school/center is responsible for securing essential event elements. This ensures that the department's business manager maintains proper financial management.

Who will book the event venue?

The department/school/center hosting the event should book the necessary venue location(s) and is responsible for securing essential event elements. This ensures that the department's business manager maintains proper financial management. Our team will help you think through the logistics and offer any suggestions to elevate the guest experience.

Who orders any swag giveaways or event decor?

The department/school/center hosting the event should place the order for any needed swag, event decor, balloons, flowers, etc. This ensures the department's business manager maintains proper financial management between pcard charges, vendor setup, and POs. Our team will help you think through the artwork design and offer any suggestions to elevate the guest experience.

Why should we connect with the Development Team for our event?

Our Director of Development and Assistant Director of Development can help draft sponsorship-level language and provide of list of recommendations for possible event sponsors. Note: it is the department's responsibility for all outreach and communications with prospective and current sponsors.

Who orders our programs or other printed materials?

After receiving the final artwork files, the department/school/center hosting the event should place the order and provide the required payment (FOP or PO). This ensures that the department's business manager maintains proper financial management. Our team is available to design all printed and/or digital materials OR can offer any suggestions to vendor artwork to elevate the guest experience.

Do our event marketing materials need to use the official TTU brand colors?

Yes. All materials representing official colleges, departments, centers, institutes, or office areas at Texas Tech should follow current branding guidelines. Our team can review any materials or create them for you by request.
