Guidance for Promotion and Tenure Submissions

OP 32.01

The Office of the Provost will contact each college in July to identify the college delegate(s) for the current academic year's Promotion and Tenure review cycle. The designated delegate(s) will receive access to the SharePoint site for submission of materials in August.

The annual Promotion and Tenure review cycle is presented for approval at the February Board of Regents (BOR) meeting and includes the following categories:

  1. Appointments with Tenure
  2. Promotion and Tenure
  3. Promotion Only
  4. Tenure Only
  5. Continuing Appointments with Promotion
  6. Continuing Appointments Only

Only expedited Appointments with Tenure are presented during the May, August, and November Board of Regents meetings. Colleges should notify Genevieve Durham and Michele Hinds of any expedited submissions at least six weeks prior to the applicable Board meeting and follow the submission process outlined below.

Promotion and Tenure Process

Annual Review (February Board of Regents Meeting)

Submissions for the 2026-2027 academic year are due to the Office of the Provost via SharePoint by Monday, November 2, 2026.

In addition to uploading the required documents to SharePoint, the college delegate must deliver:

  • A hard copy of the recommendation ballot(s)
  • A flash drive containing:
    • Recommendation ballot(s)
    • Dossier(s)
    • College worksheet

All materials must be received by the submission deadline.

Please Note: Any submission received after the deadline requires approval from the Provost before it can be considered.

Required Documents for SharePoint Upload

  1. Completed Recommendation Ballot - The recommendation ballot must include:
    1. Candidate's name
    2. Tallied department vote
    3. Approval or disapproval recommendation signed by the Department Chairperson, School Director, or Area Coordinator
    4. Tallied vote from the College or School Committee
    5. Approval or disapproval recommendation signed by the Dean
  2. Completed College Worksheet - Submit the completed College Worksheet with each candidate listed on the appropriate category worksheet.
  3. Complete Dossier - Upload each dossier to the appropriate department and category folder. All dossiers must be bookmarked according to the required bookmark structure outlined below.

Please Note: Incomplete or incorrectly uploaded documents will be returned for correction. Corrections should be completed promptly, and an updated flash drive must be delivered to the Office of the Provost.

 

SharePoint Submission Instructions

Navigate to the following location in SharePoint:

  1. Promotion, Tenure, and Continuing Appointment
  2. 2026-2027
  3. Applications for February 2027 BOR
  4. Select your college folder
  5. AAA Guidelines
    1. Ballot Sheet (template provided) – Upload all completed recommendation ballots.
    2. College Worksheet (template provided) – Upload the completed worksheet.
    3. Guidelines – Dossier bookmark guidance.
    4. OP – Copy of OP 32.01.
  6. Departments (if applicable) – Upload complete, bookmarked dossiers to the appropriate department folder. Colleges without departmental folders should upload complete, bookmarked dossiers directly within their college folder (not within the AAA Guidelines folder).

 

Required Dossier Bookmarks

All dossier materials must be organized in the order listed below and bookmarked accordingly.

Please Note: Dossiers that are incomplete, improperly ordered, or missing bookmarks will be returned for correction.


Bookmark 1: Preliminary Information

  • Title Page
  • Declaration of Policy
  • Basic Information

Bookmark 2: Recommendation Ballot

The following information must appear at the top of the recommendation ballot:

  • Candidate's name (including title, such as Dr., Mr., Mrs., Ms., etc.)
  • R Number
  • Department
  • Academic Title

Bookmark 3: Statement of Access


Bookmark 4: Dean's Letter

The Dean's letter should clearly state the basis for the recommendation.

At the time the dossier is submitted, the candidate must be informed of Dean’s recommendation.


Bookmark 5: Chairperson's Letter

The Department Chairperson should submit a letter to the Dean explaining the basis for the recommendation.

At the time the dossier is submitted, the candidate must be informed of the Chairperson's recommendation.

The Chairperson must also submit:

  • Tenure and promotion ballots
  • Ballot comments

Ballot comments should be submitted separately from the ballots.

If applicable, any written recommendation from a department or area tenure and promotion committee should immediately follow the Chairperson's letter.


Bookmark 6: Curriculum Vitae (CV)

Include the Chairperson's ratings of publications and creative activities.

Promotion Candidates: Only publications and creative activities completed since the candidate's most recent promotion at Texas Tech University should be rated. Teaching and service activities should not be rated.


Bookmark 7: Letters from External Reviewers

Include the following:

  • Example solicitation letter from the Chairperson
  • Biographical sketches of external reviewers and, if applicable, an explanation of their inclusion
  • External review letters

Bookmark 8: Applicant's Statement of Teaching Effectiveness

Include:

  • Summaries of student evaluations of teaching
  • Summaries of peer evaluations of teaching

Faculty colleagues should evaluate the objectives, methods, and materials of courses designed and/or taught by the candidate as part of the summative peer evaluation process.

Note: Per OP 32.01, evidence included in the dossier should be limited to a one-page summary of peer evaluations and student evaluations for each year of service since appointment or the candidate's previous promotion.


Bookmark 9: Applicant's Summary of Research and Creative Activities

Examples may include:

  • Abstracts
  • Writing samples
  • Other supporting documentation

Bookmark 10: Applicant's Summary of Service Activities


Bookmark 11: Faculty Annual Reports

Include faculty annual reports with Chairperson assessments, including the third-year review, when applicable. Research and creative activities must be ranked.

Order of Annual Reports

  1. Reverse chronological order (most recent report first)
  2. Third-year review inserted in the appropriate chronological location, if applicable

Bookmark 12: Ballot Comments

Include all ballot comments that were submitted in support of the review.


 

Promotion and Tenure Review Team

The Promotion and Tenure Review Team consists of the following individuals:

  • Provost
  • Vice Provosts
  • Vice President Research
  • Dean of the college under review

The Review Team meets in December and January to evaluate candidates from each college. Following the review, the Provost and the Dean of the Graduate School will approve or disapprove recommendations and sign the recommendation ballots.

Once all college reviews have been completed, the Provost will meet with the President to review all candidates. The President will then approve or disapprove each recommendation and sign the corresponding recommendation ballots.

 

Board Approval and Notification Process

Following approval by the Board of Regents, the Office of the Provost will prepare approval letters and notify colleges when they are available for pickup.

To ensure confidentiality, approval letters must be collected from the Office of the Provost by a designated college staff or faculty member.
