Davis College Student Travel Policy

 

Students must be in Good Academic and Conduct Standing to be eligible to travel or compete on behalf of Texas Tech University and the Davis College of Agricultural Sciences & Natural Resources each semester.

  • Good Academic Standing = 2.0 or higher TTU GPA
  • Good Conduct Standing = No active conduct/academic integrity cases

To confirm eligibility, students must complete the Davis College Code of Expectations electronic form, verifying they are aware of Davis College rules and liabilities and giving us permission to run academic and conduct checks on them. They must complete a Code of Expectations form every semester they are competing/travelling with a team/organization.

Faculty/Coaches/Advisors need to submit a request to review student eligibility to travel at least two weeks prior to date of event and receive confirmation that all students are cleared before they distribute students’ excuse letters.

Please note: Students traveling for required class field trips can still participate if they are not in good standing. This policy applies to extracurricular activities that are not required for a course. However, please send Maeley Stroupe (maeley.stroupe@ttu.edu) the roster of students travelling for course-related events to keep record of how many students are participating in experiential learning activities each semester.

Instructions for Requesting Review of Student Eligibility with Dean’s Office:

  1. Send Maeley Stroupe (maeley.stroupe@ttu.edu) the team/group roster of students participating and the date(s) of the event.
  2. Email your students the Code of Expectations form to complete.
  3. Have each student also complete:
    1. TTU Student/Participant Release and Indemnity Form
      1. The advisor/coach is responsible for keeping these documents on file for the next three years for liability reasons.
    2. Emergency Contact Information Sheet
      1. The advisor/coach needs to keep these accessible when traveling in case of emergency.
  4. Maeley will notify the coach/advisor once all students have completed the Code of Expectations form and are cleared to travel. At that point, the coach/advisor can distribute an excuse letter to the student.
