Annual Requirements
Registered student organizations must complete annual registration, training and compliance requirements to maintain active status and access student organization benefits at Texas Tech University.
The annual registration period opens Feb. 1 and closes Sept. 1. Organizations should begin the process early to allow time to complete required training, update organization information and address any corrections before the deadline.
Annual Registration
Student organizations must renew their registration with Student Involvement every academic year. The annual registration process is completed through TechConnect.
Registration opens each year on Feb. 1. Organizations must complete the process by Sept. 1 to maintain registered status.
Organizations that do not complete the annual requirements by the deadline may be frozen and lose access to the benefits available to registered student organizations.
Student Org Leader Orientation
Student Org Leader Orientation, or SOLO, is required annually for registered student organizations. SOLO is a self-paced online training designed to give student leaders the information they need to successfully manage their organizations and meet university requirements.
At least one organization officer, preferably the president, must complete the required training each academic year. Advisors should not complete SOLO in place of a student organization leader.
After completing all required modules, the student leader receives a certificate of completion. Save this certificate. It must be uploaded as part of the organization's annual registration.
SOLO opens with annual registration on Feb. 1 and must be completed by the Sept. 1 registration deadline.
Risk Management
All registered student organizations must complete annual risk management requirements. Risk management training is included as part of SOLO.
After completing the training, the organization must also complete the required risk management assessment and information included with the annual registration process.
Risk management requirements must be completed by Sept. 1.
What You Need to Register
Organizations should gather their current information and required documents before beginning annual registration in TechConnect.
The annual registration process requires organizations to provide or confirm:
- A current list of organization officers, including a president and treasurer.
- A complete membership roster with at least five currently enrolled Texas Tech students, including the president and treasurer.
- A full-time Texas Tech faculty or staff advisor.
- An on-campus address, such as a university mail stop or box number.
- An updated constitution and bylaws.
- Governing documents from an affiliated local, state or national organization, if applicable.
- The current SOLO certificate of completion.
- A signed Advisor Agreement Form.
- The current Risk Management & Foreign Influence Statement of Completion.
- Completion of the required state-mandated risk management questions included in the registration process.
Required annual forms and certifications must be current. Organizations should not reuse forms from a previous registration year when a new annual form is required.
Constitution & Bylaws
Annual registration is a good opportunity to review your organization's constitution and bylaws. These documents establish the organization's purpose, structure, membership requirements, officer responsibilities and procedures for conducting organization business.
Organizations should make sure their governing documents accurately reflect how the organization currently operates before submitting them with annual registration.
Student Involvement also recommends keeping the latest constitution and bylaws in the Documents section of the organization's TechConnect page so they remain available to members and future officers.
Keep Your TechConnect Roster Current
Compliance does not end when annual registration is approved. Organizations are responsible for keeping their TechConnect information current throughout the year.
Student organizations have 10 university working days to update their TechConnect roster following changes to organization leadership or membership. This includes changes to the:
- President
- Treasurer
- Other officers or organization leaders
- Faculty or staff advisor
- Organization membership
Keeping the roster current helps ensure that Student Involvement can communicate important deadlines and requirements to the correct organization leaders.
Missed the Deadline?
Organizations that do not complete annual registration and compliance requirements by Sept. 1 may be frozen in TechConnect. Frozen organizations are not considered active registered student organizations and do not have access to the benefits provided to registered organizations.
The reinstatement period runs from Sept. 2 through Jan. 31. Organizations seeking reinstatement must complete the reinstatement process and applicable training requirements before registered status can be restored.
