Procedural Guidelines for Promotion and Tenure for Tenure-Track and Tenured Positions
The Department of Mathematics and Statistics follows the University OP regarding promotion for tenure-track and tenured positions and tenure, currently posted at TTU Operating Policy 32.01: Promotion and Tenure Standards and Procedures . The Department of Mathematics and Statistics also follows the general guidelines of the College of Arts and Sciences regarding promotion and tenure, currently posted at College of Arts and Sciences Promotion and Tenure Policies .
The departments Promotion and Tenure Committee is the Executive Committee, which conducts annual evaluations of faculty each Spring. During these evaluations, potential candidates for tenure and promotion may be discussed. For promotion to full professor, a straw poll of all full professors is typically conducted during the Spring semester of the year in which the candidates dossier will be prepared. This poll helps determine whether the candidate should move forward in the promotion process. Before a decision is made, the chair will share the poll results, including comments, with the candidate and the dean.
Year before the Application Year
- February – The Executive Committee discusses potential candidates for promotion and/or tenure as part of the annual faculty review process.
- By March 15 – Candidates for promotion and/or tenure submit an updated CV and a list of external reviewers to the Department Chair. For details on the external letters, refer to the current version of the College of Arts and Sciences Promotion and Tenure Guidelines .
- By April 1 – Candidates prepare a selection of papers, a teaching statement, a summary of research and creative activities, and a summary of service/outreach/engagement. These materials must be stored in a designated location that can be updated as needed and shared with external reviewers.
- By April 15 – The Department Chair sends invitations to potential reviewers. The invitation should include links to the candidates CV, webpage, selected papers, and the statements mentioned above. Ideally, the external letters will be received by August 1.
- Summer – The candidate works with their faculty mentor and/or Tenure and Promotion Committee to prepare and/or refine the dossier.
- The Friday prior to Faculty on Duty – Candidates upload the current version of their dossier to the shared OneDrive folder for the Department Chairs feedback.
- The day after Faculty on Duty – Candidates upload their final dossier to their shared OneDrive folder.
- The day after First Class Day – The final version of each candidates dossier is available for viewing and voting.
- Late August to Early September – Each candidate for tenure and/or promotion delivers a colloquium talk highlighting their academic accomplishments over the past five years, or since their date of hire or last promotion. All tenured faculty are expected to attend the talk and engage by asking questions.
Voting will be done in a manner consistent with the department's bylaws. Comments will be solicited in a manner consistent with university and college operating procedures. There is no formal in-person meeting of the tenured faculty to discuss the vote. Faculty members must not in any way provide unsolicited opinions or attempt to influence their colleagues voting decisions. Prior to the vote, the candidates dossier is made available to all tenured faculty for private review.
At any time, any individual faculty member may address proposed amendments to the Executive Committee, which will discuss these amendments and decide whether to put them to a faculty vote, and in what form. For any vote on amendments to these Procedural Guidelines, only tenure-track and tenured faculty may vote.
