Programs and Initiatives

Each year, the Off-Campus Housing Fair has a new theme as a way to add excitement towards the event. All are encouraged to decorate their booth(s) and come dressed in a way that aligns with the theme, but this is NOT a requirement. The Spring 2027 Off-Campus Housing Fair theme is Arcade Games.

More information regarding booth space guidelines, restrictions, prohibited items, and promotional items/giveaways can be found below.

1. Submit a request form.Keep in mind the property name entered will be used in it’s exact spelling for printed marketing material for the event.
2. Housing Fair Agreement & Payment Collection. An Off-Campus Housing Office staff member will reach out regarding next steps, including signing a Housing Fair Agreement and providing full payment (checks or secure online payment portal available). Reservations are only finalized once a signed Housing Fair Agreement and full payment are received
3. Booth Assignment Provided. As a part of online registration, you will have the option to list your top three both location preferences. Booth selection will be given on a first-come, first-served bases on who finalized their reservation.

The event will be promotion to our students in the following ways:

• A minimum of two posts through University Student Housing social media platforms (Facebook and Instagram). The Off-Campus Housing Office will provide links to event posts for properties who wish to share information on their platforms as well.
• A poster campaign in all on-campus residence halls, and posters shall also be made available to campus partners for distribution at their discretion.
• Virtual poster campaign within the Student Union Building, where the event is hosted.
• Two email announcements distributed to all Texas Tech University faculty, staff and students via the TechAnnounce system.
• Email campaign to all on-campus residence hall students.

• Each booth registration includes two complimentary parking permits, available for use during event setup, duration, and teardown.
• Parking passess will be registered with the license plates of the vehicles. Off-Campus Housing Office staff will contact each property with instructions on registering your vehicles.
• Becuase parking passes are registered to the license plate of each car, passes cannot be transferred from one vehicle to another.
• Additional vehicles can be registered for an additional fee as a part of the booth registration process. Additional parking passes must be purchased in advance. Alternatively, a limited number of park-and-pay spaces are available on-campus for an hourly rate.

Choose the registration option that works best for your property. Registering early saves $150 and helps secure booth availability sooner.

• The Off-Campus Housing Fair allows Texas Tech University students the opportunity to gain valuable information about off-campus living. Student Legal Services will be on-site assisting students with general information about the process of moving off-campus, including information about the lease signing process. We strive to create better tenants by providing students with an educational component during the Off-Campus Housing Fair.
• Lease signing is prohibited on Texas Tech University property. The Off-Campus Housing Fair is an informational event only.

• Setup will occur from 4:30 PM - 7:00 PM on Monday, Feburary 1, 2027.
• Properties may arrive at the event on February 2, 2027 at 8:00 AM for additional setup time as needed.
• Breakfdown will occur from 4:30 PM - 6:00 PM immediately following the conclusion of the event.
• Each Property will be responsible for removing all supplies and materials brought to the fair, including all trash and boxes. Trash bins and recycle bins are located in the loading dock area. Boxes should be flattened prior to being placed in the cardboard bin.
  • Each Property who fails to comply with breakdown guidelines will be charged a “Cleaning Fee” of $75 payable upon receipt of invoice and risks possible exclusion from future events.
• If a booth is broken down and/or a property group chooses to leave the fair prior to the event ending, this action may result in exclusion from future events.

• Properties are welcome to bring TVs, videos, fun displays, promotional giveaways, games and food within their booth space. Feel free to get creative!
• Please ensure all decorations, signage, games, etc. stay within your 8x10 booth.
• Limited electrical outlets are available for use throughout the SUB Ballroom and can be used on a first-come, first-serve basis.
• You will need to supply your own extension cords and power strips. All cords must be securely taped down with carpet-safe tape. Acceptable types of tape are masking tape, painters' tape, and gaffers' tape.
• Please do not attach decorations to pipe and drape or floor of your booth. Properties will be responsible for any charges due to damaged pipe and drape or carpet.
• To accommodate students’ schedules, early breakdown of the booth is prohibited.
• Texas Tech University, University Student Housing and/or the Student Union Building are not responsible for lost, damaged, or stolen items, giveaways, or booth decorations.

• You are welcome to have pre-packaged food within your booth space, but any non-pre-packaged food must be catered through Top Tier Catering
  • Examples of pre-packed snacks: chips, crackers, goldfish, cookies
  • Examples of catered snacks (must utilize Top Tier Catering for these types of snacks): chips/salsa, pizza, smoothies, fruit, etc.
• Only Coca-Cola product beverages can be used or given away.
• Sand, water fountains, pools, hay/straw (loose or in bales), margarita-style machines, power generators, glitter, confetti, as well as any other items which Texas Tech University, in its sole reasonable discretion, deems to be inappropriate for the Housing Fair, are prohibited.
• Live animals are prohibited, though Service Animals are permitted.
• Playing music is permissible, but it must be appropriate (no explicit language) and played at a lowered volume that respects neighboring booths. University Student Housing reserves the right to request that music be changed, lowered, and/or stopped entirely at any time.

• Promotional giveaways are acceptable.
• Promotional items should align with the regulations of approved items in the University Student Housing Residence Hall Policies. Texas Tech University, in its sole reasonable discretion, may determine such giveaway item(s) are inappropriate for the Housing Fair: please no self-defense items, items promoting consumption of alcohol, etc. Please contact housing.offcampus@ttu.edu with any questions regarding whether giveaway items are within policy guidelines.
  • Non-exhaustive examples of prohibited promotional items: knives, pepper spray, tasers, shot glasses, beer mugs, etc.
• A giveaway drawing conducted by Property is permitted but specific rules MUST be followed.
  • Collecting contact information and/or entries for the giveaway is permitted provided information is voluntarily provided by the student. Entries for giveaway prizes may not be sold.
  • A giveaway item may be advertised at your booth, but the drawing for the giveaway item winner CANNOT take place on university property nor can the prize be given away on university property.
• We ask that you perform any raffle drawing the following business day from your property to ensure the safety of Texas Tech University and the following of laws preventing raffle or chance drawings within the Institution.

• Texas Tech University has a strict solicitation policy. Please visit depts.ttu.edu for additional information.
• The Off-Campus Housing Fair is a dedicated event for off-campus properties to advertise to students.
• Violation of the solicitation policy may result in, but is not limited to:
  • The property representative being escored off-campus by Texas Tech Police.
  • The property being excluded from future on-campus events.
  • The representative and/or property being banned from entering campus in the future.
  • The representative and/or property being subject to appropriate legal action.

• Cancellation requests received prior to January 15, 2027 will qualify for a 50% refund of registration costs.
• Cancellation requests received on or after January 15, 2027 are not eligible for a refund of any registration costs.
