How Do I Reserve an Academic space?

Go to Ad Astra Scheduling, click on the Events tab and then click on "Request Event". Please go to "Room Information & Availability" for detailed instructions.

  • University Academic
  • Administrative Departments
  • Registered Student Organizations

Please do not advertise for your event until approval is granted and you have received confirmation from our office.

FREQUENTLY ASKED QUESTIONS

Q: "How do I access the room that I have reserved?"

A: Please carefully review your event confirmation email and contact the access contact(s) listed at least 48 hours in advance of your reservation time.

 

Q: "Can I just use a room without reserving it?"

A: No, TTU Operations Policy 61.41 1:C states that "Reservations must be made through appropriate channels for the use of rooms in buildings controlled by the university. Reservation requests must be made to ODPA, except for those buildings noted in 2.c (1) below, and are granted based on availability and the priorities of the desired space. Q: "How can I check the status of my event request?"

A: Log in to Ad Astra with your eRaider username and click on “Events” under the Events tab. In the events list, select “Yes” from the pull-down menu next to “My Events.” Click Search at the bottom of the page to populate results. Please allow 1-2 business days for processing.

 

Q: "Can I schedule a course using the event request forms in Ad Astra?"

A: Credit bearing section activities should be scheduled through the Office of the Registrar. However, non-mandatory meetings related to a class (i.e. review sessions, classroom office hours, work groups) may be scheduled as events.

 

Q: "Who can I contact for IT support for my event?"

A: Please carefully review your event confirmation for IT support contact(s) for your reserved room(s).

 

Q: "How many rooms can a registered student organization reserve?"

A: Registered student organizations can reserve up to two rooms per event.

 

Q: "Can a registered student organization schedule academic space on the weekends?"

A: No, TTU Operations Policy 61.41 b:6 states that registered student organization events are permitted between the hours of 6:00 am and 10:00 pm, Monday-Friday. The Student Union is open on the weekends and may be available for use.

 

Q: "Will the air be turned on for my event?"

A: Yes, events scheduled in Ad Astra are included in the HVAC schedule – including on weekends. However, please call (806) 742-4OPS (4677) to report any issues or uncomfortable temperatures.
